Privacy Policy

Last updated: October 16, 2026

1. Overview

This Privacy Policy explains what personal information Visionary Management Solutions LLC, which operates Texas Hotel Tax Intelligence ("we," "us," or "our"), collects when you use our website and subscription service (the "Service"), how we use and share it, and the choices you have. It does not cover the Texas Hotel Occupancy Tax filing data shown in the Service, which comes from public records maintained by the State of Texas; see Section 10 for how we handle that data.

2. Information We Collect

Account information. When you create an account, we collect your first and last name, email address, phone number, and mailing address (street, apartment/suite, city, state, and ZIP), your password (stored only in hashed form, never in plain text), and the date you agreed to our Terms of Service and this Privacy Policy.

Billing information. Payments are handled by Paddle, our payment processor and merchant of record. Your card details are entered directly into Paddle's secure payment form; we never see or store your full card number. Paddle shares with us what we need to manage your subscription: your plan, its status and renewal dates, and identifiers for your Paddle customer and subscription records. The card brand and last four digits shown on your Billing page are retrieved from Paddle when you view it and are not stored by us.

Messages you send us. When you use our contact form or email our support address, we collect your name, email address, phone number (if you provide it), and the content of your message.

Usage and technical information. We record which businesses you've recently viewed (to show you your own "Recently Viewed" list), and standard technical information such as your IP address, browser type, and sign-in attempts, which we use for security and troubleshooting. We do not use third-party analytics, advertising, or tracking tools.

3. How We Use Your Information

4. How We Share Your Information

We do not sell your personal information, and we do not share it for targeted advertising. We share it with service providers that help us operate the Service, under their own privacy and security obligations, such as:

We may also disclose information if required by law, or to protect the rights, property, or safety of Texas Hotel Tax Intelligence, our users, or others. If the Service is ever sold or merged with another business, your information may be transferred as part of that transaction, and this Privacy Policy will continue to apply to it.

5. Cookies

We use a single session cookie to keep you signed in. It's strictly necessary for the Service to function, is not used for advertising or cross-site tracking, and is cleared when your browser session ends or you log out. On the pricing and billing pages, Paddle's payment form may set its own cookies to process payments and prevent fraud, under Paddle's own privacy notice. Because we don't track you across other websites, the Service doesn't respond differently to browser "Do Not Track" signals.

6. Data Retention

We keep your account information for as long as your account is active. If you sign up but don't confirm your email address within 24 hours, the account and the details you entered are deleted automatically. If you ask us to delete your account, we'll delete your personal information within 30 days, except for records we're required to keep for legal, tax, or billing purposes. Records of sign-in attempts are deleted automatically after 30 days, security logs are kept only for a limited period, and messages you send us are kept as long as needed to respond and keep a history of your support requests.

7. Your Rights and Choices

You can review and update your name, email, phone, and address at any time from the Profile page. You can also ask us to give you a copy of your personal information, correct it, or delete it. Depending on where you live, you may have additional rights under applicable law, including the Texas Data Privacy and Security Act and, for California residents, the California Consumer Privacy Act. To make a request, email support@texashoteltax.com or contact us. We'll confirm the request comes from the account holder (usually by replying to the account's email address) and respond within 45 days. We won't treat you differently for exercising these rights.

8. Data Security

Passwords are hashed, connections to the Service are encrypted in transit, our database is encrypted at rest, and access to account data is limited to what's needed to operate the Service. Your information is stored in the United States. No method of transmission or storage is completely secure, and we can't guarantee absolute security. If a breach affecting your personal information occurs, we'll notify you as required by law.

9. Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, anyone under 18.

10. Public Records in the Service

The Service shows information from Texas Hotel Occupancy Tax filings, which are public information under Texas law. These records include the names and addresses of lodging businesses and the people or companies that file for them. We show this information as reported to the State; we don't add contact or personal details from other sources, and we don't show taxpayer identification numbers. If you believe we've displayed information about you or your business incorrectly, contact us and we'll review it. We can correct errors in how we present the records, but we can't change the underlying government records.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and notify you by email or through the Service before they take effect.
